Refund Policy

Current status: paid tournament registrations are not yet enabled on PicklMate. This policy describes how refunds will work when payment processing becomes available. When that happens, this policy will be in effect for any paid registrations on the platform.
1. Free tournaments
For free tournaments, there is nothing to refund. Players can unregister themselves from the tournament page at any time before registration closes.
2. Who issues refunds
For paid tournaments, refunds are issued by the tournament organizer, not by PicklMate. PicklMate provides the tools (a refund button in the organizer dashboard) but the decision to issue a refund rests with the organizer, subject to the refund policy posted for that tournament.
3. Default refund policies (set per tournament)
When creating a tournament, organizers choose a refund policy from these options. The selected policy is shown on the tournament's public page before any player completes registration.
- Full refund up to 7 days before the event (the recommended default)
- 50% refund within 7 days of the event
- No refunds after registration
- Custom policy — written by the organizer and displayed before checkout
The policy in effect when a player registers is the one that applies to that registration.
4. Player-requested refunds
Players request a refund by contacting the organizer through the tournament page or the organizer's posted contact email. The organizer reviews the request against the tournament's refund policy and processes the refund from their dashboard.
5. Tournament cancellations by the organizer
If an organizer cancels a tournament, they must issue full refunds to all paid registrants within 7 business days of cancellation. PicklMate will offer a bulk-refund tool in the dashboard to support this.
6. Refund processing & timing
Once a refund is initiated, the amount is returned to the player's original payment method. Processing time depends on that method:
- UPI — typically 1 to 3 business days
- Cards (debit / credit) — typically 5 to 7 business days
- Net banking — typically 3 to 5 business days
Actual times depend on the issuing bank and the payment processor.
7. Platform fees on refunds
Any platform convenience fee paid by the player at registration is also refunded when the registration is refunded in full. For partial refunds, the platform fee is refunded proportionally.
8. Disputes
If an organizer refuses what appears to be a legitimate refund request, players can escalate by writing to support@picklmate.com. We will review the request against the tournament's posted refund policy and mediate. In clear cases (e.g., a tournament was cancelled, or a player was wrongly excluded from participation), we may issue the refund directly from organizer settlements.
9. Changes to this policy
We may update this policy as we roll out payment features. Material changes will be posted here with an updated “Last updated” date. The policy that was in effect at the time of a registration is the one that applies to that registration.
